Campus Posting Policy

CIA requires students, student organizations, and representatives from groups and organizations outside of CIA to receive approval from the Office of Student Life + Housing prior to physically or digitally posting or disseminating notices and advertisements on CIA property or utilizing CIA systems. 

Individuals posting or disseminating materials on CIA property or utilizing CIA systems without authorization may face disciplinary action under the Student Code of Conduct. Further, their materials will be removed. 

Those not affiliated with CIA do not automatically have the right to use College spaces for the display of information. The posting of notices and advertisements on campus does not represent endorsement or sponsorship by the College.

Standards for Approval

The following guidelines detail the requirements and/or limitations that must be adhered to when pursuing approval from the Office of Student Life + Housing. This is not intended to be an exhaustive description of every possible scenario in which an individual may seek approval to post or disseminate information. Requests may be approved or denied based on the spirit of these guidelines.

  • All materials must have the sponsoring student, student organization, or non-CIA organization/individual name and contact information clearly displayed. Non-compliant materials will be removed.
  • Materials intended for public areas are required to be appropriate for viewers of all ages.
  • Materials must not infringe upon the creation and maintenance of a safe and inclusive learning environment for all members of the campus community. Materials which constitute a true threat, incite imminent lawless action, or support discriminatory harassment or defamation will not be approved for posting on CIA property or disseminating utilizing CIA systems. Additionally, the dissemination of such unauthorized materials may constitute a violation of the Non-Discrimination and Anti-Bias, Harassment, and Intimidation Policy.
  • As a 501(c)(3) organization, CIA must not participate or intervene in any political campaign on behalf of or in opposition to any candidate for public office. This prohibition includes the use of institutional resources for such purposes. As such, materials promoting political views—exclusive of non-partisan voter registration initiatives—must include the following statement: “The views, thoughts and opinions in this communication are that of the person or organization listed and do not necessarily reflect those of the Cleveland Institute of Art, its affiliates or its partners. This communication in no way represents a sponsorship or endorsement on behalf of the College.” Additionally, materials promoting political views must not be made utilizing institutionally provided resources (e.g., institutional funds, paper, ink, etc.). This excludes materials purchased using student organization-appropriated funds from the Student Leadership Council.
  • Materials promoting voter registration initiatives and voter educational activities must not favor or oppose any candidate running for public office. Additionally, materials must not target voters of a particular political party.
  • Dissemination of digital materials must adhere to the guidelines above and be compliant with the CIA Acceptable Use Policy.
  • Materials featuring the CIA logo are generally limited and require prior approval through Marketing + Communications ([email protected]).

Approval Process and Associated Guidelines

  1. Printed Materials: Printed materials include but are not limited to flyers, handbills, and posters. They follow the approval process detailed below.
    1. Prior to printing materials, send a digital copy of the material to [email protected] for review.
    2. Upon approval, bring printed materials to the Office of Student Life + Housing (Suite 120) to be stamped prior to posting or disseminating. For distribution in the residence halls, please leave 11 copies of your materials with the Office of Student Life + Housing.
    3. Guidelines for posting and disseminating printed materials:
      1. The posting of materials should be confined to bulletin boards and other designated areas. Materials posted in locations that compromise the safety of others (e.g., obscuring windows and doors) are not permitted and will be removed.
      2. No more than 30 posters, inclusive of 11 posters for the residence halls, is permitted for any single event or initiative.
      3. All materials posted on wall surfaces MUST be hung with blue painter’s tape. Materials posted with other adhesives will be removed. Additionally, the use of stickers for posting on College property is strictly prohibited as it may cause damage to surfaces. Any damage caused to College property via prohibited adhesive materials will result in restitution for the repair.
      4. All materials must be removed within 48 hours of an event by the individual or organization responsible for posting.
  2. Digital Materials: Digital materials include but are not limited to emails for large audiences, digital flyers, and monitor graphics.
    1. A note on emails for small audiences: It is acceptable for individuals and student organizations to send email communication to students and CIA community members who are current members of the organization or who have explicitly expressed an interest in the organization. Student organization presidents and leaders who are interested in increasing their CIA email threshold from 30 individuals to 50 may contact the Assistant Dean of Students for approval. Students should refer to the CIA Acceptable Use Policy regarding email content. Violations of the CIA Acceptable Use Policy may result in disciplinary action under the Student Code of Conduct.
    2. Prior to disseminating digital materials, send a copy to [email protected] for review.
    3. Upon approval, you may disseminate your digital materials using the guidelines below:
      1. To send materials via CIA email to a large audience, please indicate this in your email to [email protected] when initially requesting approval. This should include the materials you wish to send, the message you want to send with the materials, the audience you wish the materials to be sent to, and the date you wish for the email to be sent. Note: Messages and materials which violate the content limitations outlined in the CIA Acceptable Use Policy will not be disseminated.
      2. For larger audiences, messages can be considered for inclusion in CIA Weekly by emailing Marketing + Communications at [email protected].
      3. To post on the College’s monitors, email your material in a 16:9 JPG or JPEG to Marketing + Communications ([email protected]).

Recognized student organizations are permitted to have their own social media accounts; however, accounts must follow the social media marketing guidelines below:

  1. Student organizations are not permitted to use the official CIA logo on any social media platform. However, they are encouraged but not obligated to use CIA branding (colors, fonts, etc.) as outlined in the CIA Branding Toolkit on myCIA.
  2. Student organizations are to follow all College guidelines set in the Student Handbook including the Campus Posting Policy and the CIA Acceptable Use Policy.
  3. Failure to abide by College guidelines or violations of College policy may result in the disciplinary action under the Student Code of Conduct.
