Each studio or lab within the Interactive Media Lab has space-specific policies, procedures, and training requirements.
Students are responsible for reviewing and complying with the policies outlined under the Studios and Labs section of this handbook prior to use. Failure to follow studio or lab specific policies may result in suspension of access to that space or the IML as a whole.
Booking Procedures
Booking requests for independent use must be submitted using the Interactive Media Lab booking form located on the IML “Booking Spaces” page on myCIA.
All bookings are reviewed and confirmed by IML Staff and are processed on a first-come, first-served basis. Submission of booking request does not guarantee approval.
Some spaces may require prior authorization, require training or demonstrate proficiency before a booking can be confirmed.
Calendars on myCIA are available and updated to give notice on if a space is booked.
Class vs. Independent Use
Class use refers to studio or lab access scheduled as part of a registered CIA course and supervised by faculty.
Independent use refers to student-initiated use of outside of scheduled class time, including work related to class projects, BFA work, or personal use.
Lead Times
To assist with scheduling and confirmation times, the following lead times are recommended:
XR Studio use: At least two weeks in advance
Other IML spaces: At least 24 hours in advance
Late or same-day booking requests may be denied due to scheduling conflicts and authorization requirements.
Open Studio
Open studio hours are designed periods during which specific spaces are available for student use on a walk-in basis without a prior booking.
Open studio access is limited to designated spaces only.
Students must still check in at the IML Equipment Checkout and follow all space-specific rules.
Check calendar availability as open studio spaces may still be booked using the IML booking procedures by classes, other students and external parties.
Studios and labs that are not designated as open studio spaces remain subject to booking and authorization requirements.
Walk-Up Use + Space Availability
Walk-up use may be permitted for non-open studio spaces only if the space is unreserved, and staff approval is granted.
Walk-up use may be denied if:
The space is already booked
Required staff are unavailable
Training or authorization requirements have not been met
Students are expected to verify availability with the IML Equipment Checkout prior to entering any studio or lab.
No Show Policy
Students are expected to arrive on time and use booked spaces responsibly. A booking will be considered a no-show if the student has not checked in or arrived within 30 minutes of the scheduled start time.
Failure to show for a confirmed booking without at least 24 hours’ advance notice may result in
Cancellation of the booking
Temporary suspension of future booking privileges
Repeated no-shows may result in longer-term loss of booking or access privileges.
Over Allotted Time
Students must vacate the studios and labs at the end of their approved booking time.
Use of spaces beyond the approved time is not permitted unless:
The space is unreserved immediately following the booking, and/or explicit approval is granted by IML staff.
Students must allow adequate time within their booking for:
Equipment shutdown
Cleanup
Resetting the space to its default configuration
Failure to vacate a space on time may impact future booking eligibility.
3D Print Payment
Payment for 3D prints for students is processed through PaperCut, based on the total grams of material used. If insufficient funds are available, the printed item will be held in IML Equipment Checkout until payment is fulfilled.
