4.4 Equipment Checkout

IML Equipment Checkout provides users access to specialized equipment.  

Use of the equipment in checkout does not require a rental of IML facilities and can be used independently of studio bookings. Equipment rentals are managed separately from space reservations and are subject to availability, approval, and applicable rental terms. 

All users must complete required documentation prior to checkout, which may include: 

  • An external equipment rental agreement 

  • Proof of identification 

  • Proof of insurance, when required 

  • Maintain a valid credit or debit card on file for damage, loss or liability purposes 

All equipment remains the property of Cleveland Institute of Art. Rental constitutes a lease, not transfer of ownership. 

Pick Up + Return Procedures 

Equipment rentals should be requested in advance to ensure availability. Walk-up rentals may be permitted at the discretion of IML staff but are not guaranteed. IML reserves the right to limit of deny equipment rentals based on operational needs. Reservations not picked up within three hours of the scheduled start time may be voided.  

A full day’s rental may be charged even for partial-day use. 

All equipment must be picked up and returned through IML Equipment Checkout. IML staff will inspect equipment at checkout and return. 

Insurance + Certificate of Liability 

Insurance is the responsibility of the user.  

A certificate of liability is required for equipment valued over $5,000.  

The COI must list Cleveland Institute of Art as additional insured and loss payee. It must also cover rented or leased equipment at replacement cost. The COI must also remain valid through the full rental period and at least 30 days beyond.  

Late Fees, Damage + Liability 

Users are responsible for proper handling and use of equipment.  

Equipment must be returned by the agreed-upon return time with all accessories, batteries, cables, and components and in the same condition as issued. 

Late returns, missing items, or damaged equipment may result in additional rental charges, repair or replacement costs or charges applied to the card on file. 

Users are financially responsible for damage beyond normal wear and tear, loss or theft, missing or incomplete items.  

IML staff will determine whether damage is normal wear or user responsibility.  

Late returns may result in charges equal to 10% of the equipment’s replacement cost per day, up to full replacement value.  

Warranty + Misuse Restrictions 

IML warrants that equipment will be operational at pickup. Users must report any malfunction immediately. Warranty does not cover mishandling, improper operation, misuse or negligence. IML is not responsible for consequential damages, personal injury, property damage arising from equipment use. 

Equipment must be operated in accordance with manufacturer’s instructions and only for its intended use. Users may not modify, repair, or service equipment. Users may not make alterations, deface, remove or obscure ownership markings.
