Making equipment reservations using the Patron Portal
The Equipment Checkout is a reservation based system that allows users to reserve equipment for use in class and projects. Students must utilize the reservation system and are responsible for all equipment while in their possession. Patron Portal external link
The Patron Portal link will take you to an external website where reservations are created and managed. You will need your CIA credentials to login. If you cannot log in to the portal, please contact [email protected] for assistance.
Patron Portal overview
The patron portal will open to your campus location, or choose location when prompted. The message of the day contains up to date hours and messages, and an overview of the reservation process. Click on the "new" shopping cart icon to start a new reservation
Creating a new reservation
After clicking the new reservation icon, you will be prompted to fill out the parameters of your reservation dates and times. By default, it will create a reservation at the present time and for the period of one day. You can adjust the pickup time to any day or time within seven days, and set the return time up to two business days after the pickup day (during open hours). You must also fill out the three required fields: cell number, terms and conditions, and confirmation of reservation times. There are also optional fields for your class and additional notes.
After filling out the required fields, click on "Browse Catalog" or use the search function to find items.
Browse through the catalog and find the items you're looking for. Drill down through the categories until you find your specific resource, at which point you can add it to your cart. Repeat for any other equipment you need.
Close the pop out window to return to your cart and confirm your reservation.
If your reservation has errors, click to expand the error message to see the issue. Most common errors include resources not being available for your reservation time, having incorrect reservation periods (over two days, or being closed at return time).
After you submit your reservation, look for an email confirmation. If you don't see it, make sure you've properly submitted the reservation. If so, check your spam folder and make sure all future communications go to your main inbox. You can then pick up your reservation at the Main Campus Equipment Checkout, room 325 at the proper time.
Renewing your equipment
You can renew your equipment for up to 3 consecutive days (including closed days). To renew, go to the patron portal and click on "current checkout", then click on the three dots on the upper left of the mobile app, or the menu on desktop, and select "renew checkout". The allocation will open up and will be renewed for one day by default. You can extend that up to three days based on open working days. If you receive an error, expand to see what the issue is. Usually errors include being closed at return time, or periods longer than the three consecutive days. Correct and submit your renewal. You will receive a confirmation email.
Paying fines
Users are subject to a late fine if items are not returned on time. The fine is $2 per item for the first day, and $2 per day that Checkout is open, up to the replacement value of the item. Users may also be fined for damaged or missing equipment. Users will not be able to make any new reservations until equipment is returned and/or all fines have been paid.
When fines are assessed, users will receive a detailed email notification which includes a link to pay the fine. The link will take you to the my.cia Equipment Equipment Checkout/Checkout fines payment form. Once payment is received, allow up to 24 hours for us to clear your account (this is a manual process; it does not clear automatically).
