Policies and Procedures for Equipment Checkout
Mission Statement:
The Equipment Checkout provides the CIA community with technology resources for loan on both the individual and institutional level. Through our reservation and loan system, Equipment Checkout serves students and staff by making specialized technology available for use in assignments and instruction.
Overview:
Equipment is available to students, faculty, and staff, free of charge, through an online reservation system. Equipment self checkout is available for up to 48 hours, with up to three days renewal based on availability. Longer term loans for classes and special projects are also available upon request. Users are responsible and liable for all equipment while in their possession, late returns are subject to fines, and users will be charged for damaged or missing equipment.
On an institutional level the Equipment Checkout serves academic departments and faculty by providing a centralized facility to manage and loan out equipment reserved for specific classes and majors. Specialized equipment can be stored and distributed from the Checkout desk, or permanently assigned to those departments.
Equipment Checkout also tracks and keeps an inventory of school-wide technology hardware purchases through a centralized asset management system.

- Equipment Reservations and Renewals
- Self-serve equipment reservations can be made for up to two business days (based on Equipment Checkout operating hours). Reservations can be made online for up to two weeks in advance of pickup. Walk-up checkouts can be made on a first-come, first-served basis, but online reservations will receive priority over walk-ups. Users are responsible for noting the pickup and return time of their reservations. Reservations not picked up within 3 hours of reservation start time will be voided.
- The reservation system will auto-generate confirmations and other notices related to users reservations, due dates, fines, etc. It is the User’s responsibility tocheck their emailand heed all notices. Add[email protected]to your contact list so messages can be delivered to your regular inbox.
- Faculty and staff may appoint a proxy to pick-up and return equipment for them, but must notify Checkout via email or voice prior to pickup. Faculty and staff are responsible for all equipment checked out in their name regardless of who picks up, uses, or returns the equipment.
- All users must present their current CIA ID card in order to check out equipment.
- Items may be renewed up to three days based on availability, and can be made via the self-service renewal feature within the Patron Portal. NOTE: Some items may not be renewable due to other reservations; if you cannot renew your equipment, you MUST return it by the original return time.
- After the allotted number of renewals, items must be returned. If you wish to continue using an item beyond the allotted time, you must create a new reservation for that item, and return the original items to Checkout to be revalidated.
- Users are responsible for the cost of equipment repair or replacement if lost, stolen, or damaged beyond normal wear and tear.
- Users are responsible for making sure they have all the equipment they need before leaving the checkout and confirming that equipment is in working order, and are responsible for ensuring that they are using the correct modes and settings when using checkout equipment. If your equipment does not appear to be working: do not use force, ask a technician for help.
- Certain specialized and department-specific equipment is restricted to students and staff who have training via the appropriate class or within a particular academic major. Instructors must inform Checkout as to which students are sufficiently trained on those items before they are authorized to reserve them.
- Users may not check out or return equipment for users other than themselves. Never exchange or lend equipment checked out under your name to other students, doing so will result in a suspension of Checkout privileges.
- Notify Checkout at time of return of any damage or problems with equipment. Checkout managers will determine if the damage is due to normal wear and tear or is the responsibility of the user. Users are responsible for any damage or loss of equipment.
- Fines and suspensions
- A fine of $2.00 per business day per item will be assessed for all late returns up to the total replacement value of the overdue items. Lost or damaged items will result in a fine for the replacement or repair of the items. Item values are listed on your allocation agreement. Users are prohibited from using Equipment Checkout until all items are returned and fines paid in full.
- Users will be notified via automatic email when an invoice is created; follow the link included in the email to pay your fine online; finescannotbe accepted at the Checkout desk. Users may also pay their fines at the business office, but must present a receipt to the Checkout manager as proof of payment. Users must confirm with Checkout staff that fines have been paid before a suspension is lifted.Please note: suspension of privileges are NOT automatically lifted when you pay your fine; suspensions may take up to 48 hours to lift.
- Users with three late returns in a semester may receive aone week suspensionfrom using the Equipment Checkout. Each additional late return will result in an additional one week suspension.
- Certain items returned withuncharged batterieswill be subject to a $10 fine. Such items are noted on the case and in the description.
- Unattended equipmentfound or returned by another party will be subject to a $10 fine.
- Unpaid fines will result in student account holds and will be turned over to the Business office for collection at the end of each semester. Users will not be able to receive final grades and/or graduate until all outstanding fines are paid.
- Faculty and Staff individual and institutional use
- Faculty and staff may reserve and use all of the same equipment available to students. All policies above apply to faculty and staff as well.
- Faculty and staff may also reserve items for class and other institutional use, such as demonstrations, presentations, etc. Items used for these purposes may be reserved for longer periods. All such reservations must be approved and made through the Checkout manager. Please email or call the checkout manager for such requests. All reservations are subject to availability, so please make your requests well in advance of the period you will need your equipment.
- Special equipment is reserved for staff and faculty use only. This equipment includes, but is not limited to, projector and flatscreen presentation carts, multiple class use Wacom tablets, class use Cintiq pens, multiple iPads, etc. Please inquire as to the availability of these items.
Please be considerate--other students are relying on reserved equipment to complete their assignments. Your late return impacts everyone else who utilizes the same equipment from Checkout!
Special Policies:
- Extended loan periods:
- Extended loan periods may be granted for certain items based on instructor recommendation and student need, and are subject to the approval of Checkout staff.
- Spring Show:
- Special accommodations may be made to reserve equipment needed for individual and departmental presentations for Spring Show. Please contact the Checkout Manager to make requests well in advance of Spring Show to ensure availability and reserve any needed equipment.
- BFA:
- Equipment requests for BFA presentations are made available to candidates for BFA week with reservations starting during a specific window in early spring. Equipment is reserved and allocated according to recommendations of the BFA committee and requirements of the BFA candidates.
- During BFA week, the Checkout provides support to BFA candidates, and makes certain equipment available to BFA candidates for limited time periods for documentation.
- Summer Break:
- Equipment is available for Continuing Education and Pre-College class programs, and must be reserved by CIA staff responsible for those programs. Equipment can NOT be checked out to individual CE and Pre-College students.
- Only current students, faculty, and staff are allowed to check out equipment during summer break. Students who have graduated no longer have access to the Equipment Checkout.
- Most equipment may be borrowed for longer periods during the summer based on need and availability, please inquire at Checkout for extensions.
- All other Checkout policies regarding fines and usage apply during summer break.
